How to Prepare for a Portrait Session as a Photographer

Planning for a portrait session is not just about capturing beautiful images; it's about creating an experience that makes the client feel comfortable and valued. Since you only have a short amount of time to make a first impression, it’s important to make the most of your time with your client. Here's a glimpse into my process on how to prepare for a portrait session to create a luxury experience for the client. 

Complimentary Discovery Call

Before the client reserves a portrait session, I initiate a vetting process through a complimentary discovery call. This call serves as an opportunity to ensure a perfect fit between my photography style and the client's vision. It's a chance to connect, discuss expectations, and lay the foundation for a seamless portrait session.

Session Questionnaire

Once we've established compatibility, I send out a session questionnaire to gather crucial information. This questionnaire covers everything from who will be present at the session to understanding the client's unique style and preferred shopping spots. By delving into their vision for the session and details about their home decor, I can tailor the experience to their preferences. This step is particularly valuable when working on mock-ups for framing or albums that seamlessly integrate with their living space.

Guiding Poses and Prompts

Using the insights gained from the questionnaire, I curate poses and prompts that resonate with the client's personality and preferences. This ensures a natural and authentic portrayal of their individuality, making each image a true reflection of who they are. This also helps me make the most of my time during the session because I already know what types of poses I’ll be using. 

Effective Communication

Clear and constant communication is the cornerstone of a successful portrait session. Before the session, I provide helpful tips, answer potential questions, and send appointment reminders to ensure we're both on the same page throughout the process. This proactive approach fosters a sense of ease and confidence in my clients, allowing them to fully enjoy the photography experience.

Streamlined Workflow

To streamline the entire process, I meticulously document my workflow. This not only aids in efficient organization but also helps me create workflows in my customer relationship management software, Dubsado. A well-defined workflow ensures that no detail is overlooked, and each step of the journey is orchestrated with precision.

Anticipating Client Questions

Whether it's providing guidance on wardrobe choices, outlining a rain plan, or specifying the timeline for photo delivery, preemptively addressing these questions enhances client satisfaction and reinforces a sense of professionalism.
